Office Administrator/Receptionist

We are seeking a highly organized and detail-oriented Administrative Assistant/Receptionist to join our law firm. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by handling administrative tasks and client communications efficiently and effectively.

Responsibilities:

  1. Administrative Support:
    • Manage incoming calls, emails, and correspondence.
    • Coordinate appointments, meetings, and conferences.
    • Assist with drafting and editing legal documents, correspondence, and reports as needed.
    • Maintain filing systems, both electronic and physical, ensuring easy retrieval of documents.
    • Assist with the preparation and distribution of memos, letters, and other communications.
    • Assist with billing and invoicing processes.
  1. Office Management:
    • Oversee office supplies inventory and reorder supplies as necessary.
    • Ensure the office is clean, organized, and presentable at all times.
  1. Client Support:
    • Greet clients and visitors in a professional and friendly manner.
    • Communicate with the firm’s clients regarding the progress and management of their matters with the firm
    • Assist with scheduling client appointments and meetings.
    • Provide support to attorneys and legal staff as needed.
  1. Compliance:
    • Assist with maintaining confidentiality and security of sensitive information.
